Unified EHR, Practice Management & RCM Platform for a Multi-Location Orthopedic & Spine Practice in United States

Product Summary

A multi-location orthopedic and spine care practice ran clinical documentation, scheduling, and practice management through one system, while patient lead management, video consultations, and imaging ran through a separate platform. As the practice grew across multiple clinics, staff had to navigate disconnected applications, causing duplicate data entry, fragmented workflows, and limited visibility across the patient journey.

smartData is building a unified, HIPAA-compliant EHR, Practice Management, and Revenue Cycle Management platform on its AI-enabled healthcare accelerator, preserving existing clinical workflows while adding AI-assisted SOAP documentation, multi-location scheduling, integrated billing for both professional and facility claims, and secure single sign-on to the practice's lead-management system.

Features

  • Digital patient intake and clinical records management (EHR)by specialty. AI-assisted SOAP notes with voice-to-text and clinical decision support
  • Multi-location scheduling with dynamic, appointment-type-based slotting
  • Integrated medical billing and RCM for professional and facility claims
  • Comprehensive Nursing document for Surgical centres
  • Secure single sign-on linking clinical records with the practice's lead-management platform

Technical Challenges

  • Supporting both physician professional billing and ASC facility billing from the same surgical encounter, each with different claim formats and payer rules. : Built an integrated RCM workflow inside the accelerator that generates CMS-1500/837P professional claims and UB-04/837I facility claims from one surgical encounter, keeping billing data linked to the clinical note.
  • Digitizing 50+ paper-based intake, clinical note, and surgical documentation forms, each with different specialty-specific fields. : Mapped every form into structured, configurable templates in the accelerator and rolled them out in phases by department, so existing paper workflows stayed usable during the transition.
  • Meeting ONC certification requirements (USCDI data classes, C-CDA exports, and §170.315 API and security criteria) while building on the accelerator. : Built the data model and APIs around USCDI v3 from the start, added C-CDA document generation, and implemented the required audit-logging and security controls, with certification testing scoped as a separate phase.
  • Connecting the new EHR with the practice's existing CRM system for leads and referrals, without creating duplicate patient records or double data entry. : Built a secure Single Sign-On and API integration that syncs patient and lead records in real time, so a lead converted in the CRM automatically creates or updates the matching EHR patient record.
