The Challenge
Imaging requests arrive by fax — a workflow that persists because it is universally supported and produces documents nothing can process automatically. Each request is read and transcribed by hand under time pressure, with urgency itself one of the transcribed fields, and errors there propagate into the diagnostic process.
Patient, imaging type and urgency keyed by hand.
Mistakes at intake propagating into diagnosis.
Radiologists working without a single request list.
Protected health information handled without logging.
Approach & Solution
smartData built the platform on React, Django and PostgreSQL. Faxes are received through an API and converted to documents and structured data using optical character recognition, with AI extracting and verifying the fields that matter — patient name, imaging type and urgency — rather than leaving them to transcription.
Protocol suggestions are generated for each request with manual editing retained, so the clinical choice stays with the radiologist. A dashboard gives a filterable queue of incoming requests, and the whole flow runs under end-to-end encryption with audit logging to meet both HIPAA and PIPEDA requirements.
Key Features
Incoming faxes parsed into usable data.
Patient, modality and urgency verified automatically.
Recommendations offered with manual editing retained.
Encryption and audit logs across both jurisdictions.

Final Outcome
Radiologists work from a filtered queue instead of a fax tray, urgency is extracted rather than retyped under pressure, and every request carries the audit trail that handling protected health information requires.
